Under the direct supervision of the Senior Programme Coordinator, and in close coordination with other relevant units of the programme, the incumbent will provide assistance to the implementation, and monitoring of IOM Libya protection activities. The incumbent will be based in Tripoli with travels to other areas of responsibility throughout the country. 1. Organize the administration and logistical tasks of the Protection team, acting as focal point for submission, monitoring and tracking of all financial, procurement and logistics related activities within the team. 2. Coordinate off-site training, workshops, field visits and other program-related activities in terms of logistical and operational support. 3. Liaise with other IOM staff members on administration, financial, logistics and operational matters in support of programme activities, ensuring proper coordination and long-term planning. 5. Coordinate budgetary and other statistical data of PXD expenses with Finance Unit. 6. Organize and keep project files and documents according to an established filing system. 7. Prepare standard forms and templates as necessary and draft SOPs related to PxD Libya administration and logistics processes. 9. Administer regular cash payments in relevant PxD programs. Check and ensure accuracy of beneficiary list and all supporting documents. Submit and process required documents. Communicate with beneficiaries to process cash payments on a monthly basis and make sure that all documents are in compliance with the IOM cash management procedures. 10. Receive and process protection drivers` requests and coordinate with protection staff to ensure flexible and efficient movement of transportation services. 11. Create letters of invitation LoI for protection staff, trainers and invitees participating in protection unit activities(TDYs, Trainings) 12. Follow up on the delivery of ordered goods/services and ensure -through established procedures- that all received goods/services are in accordance with the terms and specifications of the Purchase Order/SA. Furthermore, communicate with Procurement staff to ensure timely delivery of purchased goods/services. 13. Suggest improvements to internal controls and streamlining/efficiencies. 14. Act as cash custodian of the protection unit. Ensure proper processing of cash payments and safeguarding of the protection petty cash. 15. Perform other duties as may be assigned.
