Assignment

Under the direct supervision of the Emergency Response Project Manager and Project Officer and in close collaboration with project staff, the Project assistant’s main responsibility includes supporting everyday operations for ACTED’s emergency response project in Ejdabiya. His/her role will be to assist cooperation with all local actors, be responsible for logistics related to their capacity building and support the project officer in the setup of a communication system in place for ACTED’s emergency response. He/She will also have to engage in rapid assessments and doing COVID19 prevention awareness raising along with local actors. He/She will also be assisting the emergency PO in anticipating needs, ensuring planning, transportation and distribution of non-food items required by conflict affected and displaced population. This would also mean assuring that transparent and high-quality post distribution monitoring takes place of activities.

She/He needs to understand the humanitarian context of Ejdabiya very well and is willing to work during emergency periods.

Functions

1 Support capacity building and awareness raising with local stakeholders in Ejdabiya
1.1 Contribute to identification of key project stakeholders
1.2 Conduct interviews/focus group discussions/consultations with communities’ focal points and local actors to understand the humanitarian situation in Ejdabiya, challenges and identify support required.
1.3 Maintain and update cooperation letters signed with different stakeholders.
1.4 Support the planning and logistics all awareness raising and outreach campaigns undertaken by ACTED teams during the project duration.

2 Support the establishment of a new system of communication and information for emergencies.
2.1 Support the logistics linked to all training and capacity building initiatives that are conducted for local CSOs and authorities in Ajdabia through the programme.
2.2 Help in assessing along with project officer, equipment and material required for setting up the new emergency system.
2.3 Support local CSOs and authorities in relaying of information that is urgent, accurate and consistent.
2.4 Conduct rapid assessments and understand information collection indicators for vulnerable population such as newly displaced population.

3 Identification, planning and conduction of distribution of Non-Food Items
3.1 Support planning of distribution site, distribution process and get required clearances and permissions, maintaining COVID prevention strategies, to ensure distributions are safe and dignified.
3.2 Manage crowds at distribution site, work with community focal points, problem solve and flag issues to project officer on distribution day.
3.3 Focus on awareness and use ACTED’s complaints response mechanism (CRM) during the distribution. Work with the Project Officer and CRM focal point to ensure that complaints are referred and followed up appropriately.
3.4 Check and file all distribution related documents in coordination with project officer, and ACTED’s support departments, for project records.

4 Other
4.1 Provide regular and timely updates on progress and challenges to project officer and manager;
4.2 Assist project team members with other activities, as requested by project officer and manager;
4.3 Perform any other related activities as required through programming.

Within the ACTED Protection Department, all staff are expected to support the well-being and safety at all times while performing their regular duties. All Protection staff are bound by the ACTED Global Code of Conduct and the ACTED Child Protection Code of Conduct.

QUALIFICATIONS

• Bachelor degree required
• At least 1year of field experience in humanitarian work, social work or capacity building experience strongly preferred.
• Familiarity with the aid system, and ability to understand donor and governmental requirement is preferred
• Ability to work with culturally diverse groups of people;
• Ability to travel and work in difficult conditions and under pressure;
• Highly proficient in written and spoken English and Arabic
• Proficient knowledge of Microsoft office (Word, Excel, Powerpoint…)
