Administration and Human Resources Manager - Moomken Organization for Awareness and Media



Job Title:  Administration and Human Resources Manager
Reporting to:  CEO
Purpose of the role:
The Administration/Human Resources Manager is part of the General Management Team and supports the daily operation of the office. The role of the manager is to provide day to day administrative and operational support for the general management. Additionally, the role has specific responsibility for the organization Human Resources including the recruitment, induction, training, development and welfare of all employees.
MAIN TASKS
Human Resources Duties and Responsibilities

Preparing or updating employment records related to hiring, transferring, promoting, and terminating
Explaining human resources policies, procedures, laws, and standards to new and existing employees
Ensuring new hire paperwork is completed and processed
Informing job applicants of job duties, responsibilities, benefits, schedules, working conditions, promotion opportunities, etc.
Addressing any employment relations issues, such as work complaints and harassment allegations
Processing all personnel action forms and ensuring proper approval
Overseeing hiring process, which includes coordinating job posts, reviewing resumes, and performing reference checks
Addressing employee’s concerns with CEO and provide clear solutions
Ensuring the HR Manual is updated constantly
Ensuring the accuracy of payroll process through regular checking and reviews
Improving HR Process and Tools
Managing and following up the HR Projects implementations, conducts projects, coordinates and ensure operational implementation and follow up.

Administrative Duties and Responsibilities

Ensure the smooth and adequate flow of information within the organization
Monitor inventory of office supplies and the purchasing of new material with attention to budgetary constraints
Updating office policies and procedures and suggest improvements.
Oversee facilities services, maintenance activities and contractors
Preparing reports on expenses, office budgets, and other expenditures.
Supporting department managers, staff, project managers, and CEO.
Organize and supervise other office activities such as Conference room and event schedules
Preparing travel arrangements for office staff and managers; overseeing and preparing expense reports and budgets.
Ensure operations adhere to policies and regulations
Organizing special functions and social events.
Purchasing computers, printers, supplies, and other equipment.
Monitoring incoming and outgoing mail; signing for packages from post; receiving mail and packages from couriers and delivering to proper recipient.
Preparing correspondence, documentation, or presentation materials.
Assisting other departments (such as financial department) with administrative or other clerical support.
Keep ahead with all organizational changes and business developments

 
PERSON SPECIFICATION
 
Experience

At least two years’ experience in working as an admiration or Human Resources Manager

Qualifications

University degree in administration, human resources, management or other relevant disciplines.

 
Knowledge Skills
–           Fluency in English and Arabic is essential.
–            IT proficient with a strong working knowledge of Microsoft Office.
–            Working knowledge of employment law and HR policies and procedures.
Personal Qualities
–              Excellent communication and interpersonal skills, time management, communication, and                       problem-solving skills.
–              Experience in team working.
–              Able to work under pressure and deadline.
–              Excellent time-keeping, Excellent written and numerical skills.
–              Proactive and flexible attitude, ability to effectively prioritize tasks.
–              Initiative and ability to tackle and solve problems independently.
–              Ability to work with tact and complete confidentiality.
–              Absolute attention to detail, particularly in relation to dealing with contracts and the collection                 of data.
