Tasks of the Project Assistant



The project assistant will work for two projects:
–       the “Employment promotion and economic development” (SI MENA) project as well as
–       the “Socioeconomic dialogue process in Libya” (SED) project.
Under the supervision of the team leader of both, SED and SI MENA projects (based in Tunis), the deputy team leader of SED (based in Tripoli) and in cooperation with the economic advisor of the SI MENA project (based in Tripoli), the Project Assistant will have the following responsibilities and tasks:
Responsibilities and Tasks:
§  Overall: organizational, logistical and administrative support of the activities organized in the frame of the two projects in close cooperation with the team leader (SED and SI MENA), deputy team leader (SED) and economic advisor (SI MENA) and in cooperation with the administrative and financial team in Tripoli office;
§  Logistical and organizational preparation of training courses, workshops, meetings, and other project events which take place in Libya;
§  Assistance in the preparation of measures which take place abroad (mainly in Tunisia), as far as this is feasible from Tripoli;
§  Contact with participants (collection of passport copies; establishing lists of participants with all relevant data; sending information to participants and responding to queries, etc.);
§  Preparation of minutes of meeting; preparation of invitations;
§  Contribution to project monitoring: collection of participants’ lists (with final beneficiaries) from partner institutions for each activity conducted by the partners with GIZ support; processing, organization, storing and filing of lists according to projects and activities; distribution, collection and partly evaluation of monitoring questionnaires; phone/viber contacts with the final beneficiaries of the partner institutions, etc.;
§  Procurement of services and goods: preparation of procurement requests, collection of offers, contact to suppliers, etc.;
§  Creation and update of an inventory list per project;
§  Accounting support: collection and checking of vouchers; payment of travel reimbursement to participants in coordination with the assistants of the GIZ office Tripoli;
§  Filing of documents;
§  Assistance to assigned national and international consultants in planning, conducting and evaluating activities;
§  Office work: photocopies, scanning of documents, search for information in Internet, if and when required;
§  Assistance in other project activities and any other tasks, as assigned by the Team Leader, the deputy team leader (SED) and the GIZ advisor (SI MENA).
Required Entry Qualifications and Competencies
Formal Education
§  Primary University degree, preferably in the field of Management, Administration, Economics, Political Sciences.
 
Professional Experience
§  At least 5 years of professional working experience in a similar position (i.e. Project Assistant) with 2 years of experience working with or for an international/technical cooperation agency or consultancy, preferably in the framework of a project or program.
 
Further knowledge and skills
§  High sense of responsibility, self-organization and excellent communication skills; team worker.
§  Excellent command of MS- Office, especially Excel and power point.
§  Good understanding of Project Cycle Management and/or administration of donor funded Projects is an asset.
§  Fluent in English and Arabic in speaking and writing.
§  Good working knowledge of modern telecommunication systems
(Phone, fax, e-mail, internet, social media).
This position includes occasional travels abroad (mainly Tunis/Tunisia).





Assignment period


The assignment period is from 15th of November 2019 until 30th of November 2020
